Building the Automation Foundation: How BAS Healthcare Is Transforming Physician Recruiting with KEYENCE RK
In physician recruiting, consistency isn’t optional, it’s everything. Candidates are hard to find, clients are demanding, and the margin for operational error is slim. For Barry Sklar, owner of BAS Healthcare, the question was simple, how do we do more with less?
The answer was automation, and KEYENCE RK became a cornerstone of that effort.
The Recruiting Operations Problem
BAS Healthcare operates in a high-touch, competitive space. Recruiters were spending meaningful time on tasks that had nothing to do with recruiting. Manually pulling job listings, entering data across platforms, and piecing together marketing outreach one record at a time. The work was necessary, but it wasn’t the work that moved the needle.
Barry’s vision was clear even before he found RK; build a system where the repetitive operational layer runs itself, so his team could focus on what they were actually hired to do.
“We need a bot to do that. How can we make operations better? How do we get more candidates? How do we pick up more clients? That question resonates in my head all the time.”
A Platform That Grows with You
BAS Healthcare’s automation portfolio with RK has grown quickly in scope and complexity. Their automation scenarios, some exceeding more than 1500 steps, now interact simultaneously with their Applicant Tracking System (ATS), third-party marketing platforms, and other external data sources.
The marketing automation alone has transformed how BAS reaches potential clients. Job postings and outreach were previously handled manually by individual recruiters, each with their own unique approach. RK now ensures that every communication that goes out, is on schedule and formatted consistently.
“We automated our marketing so that it’s more consistent and covers all the marketing searches that go out. The information being sent out now is consistent because it’s not individually done by recruiters with a little different take on it.”
A business development workflow is also in production, automatically sourcing and importing new healthcare organizations into their ATS. This has been crucial in expanding the pool of opportunities BAS can market to without a single manual lookup. It’s the kind of task that matters enormously for growth but rarely gets done when a small team is stretched thin.
“We have someone adding new healthcare organizations manually, but that doesn’t really move the needle. So we’re automating that.”
Support That Makes the Difference
For Erika Finstrom, who handles the bulk of BAS Healthcare’s operations and is the primary builder behind their RK scenarios, the product’s value is inseparable from the support behind it.
Working with her dedicated customer success representative, Ayla, Erika has gone from learning the basics to independently building and troubleshooting complex multi-step automations. The approach Ayla took, not just showing what to do, but explaining why each piece works has made all the difference.
“Not only would she say you need this, but she would kind of explain why you need it and what it’s doing. Now if I run into situations, sometimes I can answer questions myself and just plug in the pieces that need to go in there.”
That investment in genuine understanding means Erika can now think through new scenarios independently. A new skill to her, self-described as, of learning to communicate exactly what you need the tool to do and how to do it. When she does need help, Ayla is quick and reliable.
“I think she’s a great teacher. If she doesn’t know, she’s very quick to get back to you with the answer. I’m very glad she was paired with us.”
The Road to ROI
Barry is direct about where BAS Healthcare stands: the automation foundation is built, the most important scenarios are stabilizing, and the return on that investment is coming into focus.
“I think we’ll know on that return on investment by first quarter ’27. We should have enough scenarios working to know if it’s moving the needle. I’m really excited about it.”
That excitement is grounded in what’s already happening: recruiters relieved of manual data entry, marketing running with consistency they never had before, and a growing pipeline of new healthcare organizations entering the system automatically. The operational friction that used to slow the team down is being systematically removed.
For BAS Healthcare, KEYENCE RK isn’t just a tool they bought. It’s the infrastructure they’re building their next stage of growth on.
